Paid in cash?
No federal rule obliges you to issue a receipt for an ordinary cash sale, but issue one anyway: it is your record as much as the customer’s, and a sequential number that runs across the year is what makes a quarter reconcile. The cash-sale guide covers the three situations that do create a duty.
Common questions
- Which states require a rent receipt?
- New York requires one for any payment not made by personal check, and it must state the payment date, the amount, the period covered and the apartment number, signed by the person receiving it with their title. Maryland requires one for cash and on request. Several other states have a request-based rule.
- Is “landlord” enough as a signature title?
- Not if you are an agent or a property manager. The statute asks for the title of the person who received the payment, so an agent signing as “landlord” misstates who took the money.
- How long do I keep cash rent records?
- New York requires a landlord to keep records of cash rent payments for three years. Sequential numbering across a year is what makes those records reconcile.
