Rideshare and taxi driver receipt template
The highest-volume expense-report format there is: origin, destination, distance, duration and an itemised surcharge stack. A trip receipt without both endpoints cannot be matched to a business purpose.
Free, no signup, no watermark. PDF, PNG and JPG export at the format’s real paper width.
The lines a rideshare and taxi driver actually bills
These are the preset line items this page loads into the maker. The price bands are typical, not prescriptive — set your own. The tax column is guidance: materials are taxable in most states and service labour often is not, which is a real per-state distinction covered on the state requirements pages.
| Line item | Billed by | Typical | Tax class |
|---|---|---|---|
| Base fare | trip | $2 – $5 | Goods |
| Distance | mile | $0.80 – $2.50 | Goods |
| Time | minute | $0.15 – $0.60 | Goods |
| Booking fee | trip | $1.50 – $4 | Goods |
| Airport surcharge | trip | $2 – $8 | Goods |
| Tolls | trip | $1 – $20 | Not a taxable sale |
| Congestion surcharge | trip | $0.75 – $3 | Goods |
The format this trade issues
A trip document with a pickup and dropoff pair, distance and duration, and a fare breakdown — the shape an expense system parses.
Get Receipt renders it as Taxi / rideshare trip receipt — In-car printer format: fare, time-and-distance and fees broken out, trip QR at the foot.
The full field order, alignment grid and physical spec for that format is documented on the taxi and rideshare trip receipt spec page.
Paid in cash?
No federal rule obliges you to issue a receipt for an ordinary cash sale, but issue one anyway: it is your record as much as the customer’s, and a sequential number that runs across the year is what makes a quarter reconcile. The cash-sale guide covers the three situations that do create a duty.
Common questions
- What makes a trip receipt acceptable for an expense claim?
- Both endpoints with timestamps, the distance, the duration and an itemised fare. A total with a date and nothing else cannot be tied to a business purpose, which is the test the reviewer applies.
- Are tolls taxable?
- A toll passed through at cost is generally not a taxable component of the fare, while surcharges you set are. Keeping them on separate lines is what makes either treatment defensible.
- Do I issue a receipt if the platform already does?
- Only for off-platform work — a private hire, a contracted airport run, an account customer. Reissuing the platform’s own trip would duplicate a record that already exists.
Card details on this receipt
Get Receipt prints at most four card digits and has no expiry field anywhere in the app. FACTA forbids printing more than the last five digits, or the expiration date at all, on a cardholder receipt — so a violating receipt is not something this tool can be made to produce, by hand or by the assistant.
