Hotel and short stay receipt template
IRS substantiation rules exempt most expenses under $75 from a receipt requirement — with lodging as the standing exception. A folio is always required, at any amount.

The lines a hotel and short stay actually bills
These are the preset line items this page loads into the maker. The price bands are typical, not prescriptive — set your own. The tax column is guidance: materials are taxable in most states and service labour often is not, which is a real per-state distinction covered on the state requirements pages.
| Line item | Billed by | Typical | Tax class |
|---|---|---|---|
| Room rate — per night | night | $80 – $450 | Goods |
| State occupancy tax | night | $5 – $40 | Goods |
| City lodging tax | night | $3 – $30 | Goods |
| Tourism assessment | night | $1 – $8 | Goods |
| Resort or destination fee | night | $15 – $50 | Goods |
| Parking | night | $15 – $75 | Goods |
| Food and beverage charge | each | $8 – $120 | Goods |
The format this trade issues
The folio ledger: one row per night for the room rate, a row per named lodging tax per night, then fees and incidentals, ending in BALANCE DUE 0.00.
Get Receipt renders it as Hotel folio — A5 guest folio: room and stay block, nightly charges and incidentals in date order, guest signature rule.
The full field order, alignment grid and physical spec for that format is documented on the hotel folio spec page.
Common questions
- Why does lodging always need a receipt?
- Because it is the standing exception to the under-$75 substantiation threshold. Whatever the amount, a lodging expense needs the folio, which is why guests ask for it at checkout even on a one-night stay.
- What makes a folio different from a receipt?
- It is a date-ordered ledger rather than a basket. One row per night for the rate, then a row per tax type per night, then fees and incidentals, with charges and credits in separate columns and a balance at the foot.
- Should each lodging tax be named separately?
- Yes. State occupancy, city lodging and tourism assessments are distinct taxes at distinct rates, and a guest reclaiming one of them needs to see it on its own line.
Card details on this receipt
Get Receipt prints at most four card digits and has no expiry field anywhere in the app. FACTA forbids printing more than the last five digits, or the expiration date at all, on a cardholder receipt — so a violating receipt is not something this tool can be made to produce, by hand or by the assistant.
