The format this trade issues
The carbon-copy money-receipt format: a sequential number, received-from, the amount in words, and a signature — the document a paper receipt book produces.

Paid in cash?
No federal rule obliges you to issue a receipt for an ordinary cash sale, but issue one anyway: it is your record as much as the customer’s, and a sequential number that runs across the year is what makes a quarter reconcile. The cash-sale guide covers the three situations that do create a duty.
Common questions
- What identifies the vehicle on the receipt?
- Year, make, model, VIN and odometer reading at sale. The VIN is the only field that identifies the vehicle uniquely, and the odometer reading is what a later dispute about mileage turns on.
- Should the receipt say “as is”?
- State the condition the parties agreed to in writing on the receipt itself. A private sale usually carries no warranty, and the receipt is the only place that gets recorded.
- Who owes the sales tax?
- In most states the buyer pays use tax at registration rather than the seller collecting it. Your receipt records the price; the state collects at the title transfer.
Card details on this receipt
